Instrumentl recently published an article in their LinkedIn newsletter noting which months and quarters are the busiest for grant deadlines, hinting at the busiest season for consultants too. This included tips on grant management, and it comes right on time. In this particular entry or article, I want to discuss the research revealing the busiest grant deadline seasons. This research is brought to us by an amazing resource called Instrumental, which I will talk more about in an upcoming post. It is a grant management database, and I will provide a link to you where you can find further information on what I’m going to discuss today. I’ll give you some important details, and you can then head on over to Instrumentl and stay connected because they have a lot of different information that’s very valuable for you.
This research was based on 2022 and 2023 data. Now, as we’ve entered into 2025, we should expect for the 2024 data to come out and we can then analyze that information. However, what we find in the report that was released in 2024, based on 2022 and 2023 data, is that the busiest grant deadline seasons are actually during the months of October (4,538 funders), March (4,297), and September (4,229). This information is good for our strategic planning.

Relevant Research
When we’re looking for relevant grant opportunities and funders who fund the work that our organizations do, we are aware that there are deadlines to pay attention and adhere to. However, when you become aware that there is a trend, you can implement that knowledge into your funding strategy and basically strategic outlook where you plan ahead around specific knowledge.
So, strategically speaking, you are no longer just researching grants randomly throughout the calendar or fiscal year, but you are now more aware of when things will be busier, how much busier, and you can plan for that difference. What that means is you’ll say, “okay, we are going to research monthly [or quarterly], and then we’re going to do the majority of our LOI writing during this or these months, to be prepared for [most] submissions being due during these months.” And this is due to the research from Instrumentl as well as having a grant writer or consultant, like The Strategy Huddle, to conduct grant research and put together a funding strategy and align the information.
I didn’t give you all the details from the report. In this particular report, they also discuss which are the top 3 busiest states and the total number of grants from funders within the three busiest states.
